Receptionist

Are you organized, friendly, and passionate about customer service? A busy co-working space is
looking for a proactive and professional Admin / Receptionist to join our team. This role is key
to ensuring the smooth operation of daily front-office and administrative tasks.

Duties & Responsibilities

  • Greet and welcome members and visitors: Create a positive first impression and ensure a smooth experience for all.
  • Answer and direct phone calls: Efficiently manage incoming calls and connect them to the appropriate person or department.
  • Manage access to the coworking space: Ensure secure entry and exit for members and guests.
  • Handle inquiries and provide information: Answer questions about the space, services, and amenities.
  • Manage mail and deliveries: Sort, distribute, and manage incoming and outgoing packages.
  • Schedule meetings and book conference rooms: Coordinate meeting schedules and ensure spaces are well-equipped.
  • Maintain a clean and organized reception area: Ensure the space is tidy and presentable for visitors.
  • Assist with basic clerical tasks: This may include filing, photocopying, and data entry.
  • Monitor and order supplies: Ensure the reception area and office have adequate supplies.
  • Handle payments and invoices: If necessary, assist with managing payments from clients and processing invoices.
  • Assist with onboarding new members: Help new members get set up with their accounts and access.
  • Ad Hoc tasks: You may be required to perform other functions from time to time which is not specified in this document.
